Summary Timeline View

The Summary tab that’s available on all records is a great way to see an overview of interactions with that record.  In it you can see all the Activities, Emails, Notes and Transactions linked to the main record as well as Online Activities and Audit records. 

The rows are displayed in reverse chronological order with the most recently updated record at the top, giving you a timeline of what’s been going on without having to look through each individual tab. 

 

  1. If User photos have been uploaded, you’ll see them on the left and hovering over the image displays the User name. 

  2. Hover over the time shown to see the exact date and time. 

  3. Click on the bold text to open a record. 

  4. Refreshes the data on your tab. 

  5. Trivial audit information is hidden by default.  To see it all, tick the Show Full Audit checkbox. 

  6. Filters can be applied to include/exclude specified records. For example, to exclude Audit records, apply a filter that says ‘Context does not equal audited’.  Click View > Save if you want to apply that filter to the Summary tab on all record types. 

  7. Click View to see other choices for the formatting of the tab – you can select ‘View as Calendar’ or ‘View as Grid’. 

  8. To generate a printout of all the rows, click the print symbol.

  9. On Activities the Primary Contact and Employer values are hyperlinks to those records. 

  10. If there’s too much text to display in the preview window, click on it to display more. If you still can’t see everything, open the record as at point 3 above. 

  11. If an Activity is overdue, the word Overdue will show and be displayed in red.  If they’ve been completed, the word Completed will show in green, otherwise, if they’re due in future, you’ll simply see Due and the number of days until the due date.
