Force24

These steps will be actioned by Workbooks Support in conjunction with Force24.

 

Initial Configuration

In Force24:

  • Navigate to Settings > Application > New Application. Here, once naming the application and clicking create, you will be able to see two values, ID and Secret.

In Workbooks:

  • Navigate to Start > Configuration > Email Marketing > Force24.
  • Add the API Key (ID) and Secret Key (Secret) from your instance of Force24

Once this has been configured, more settings will appear in the Force24 tab within Workbooks, allowing you to control which Email and Web Activities should sync into Workbooks. We recommend syncing only the information that is useful, this is to reduce data usage in Workbooks.

Completing configuration will automatically create a set of scheduled processes within Workbooks, communicating to Force24. Please see the processes and what they do below:

 

Force24 – Send People

This process will identify and sync new People to Force24 who have:

  • A ‘true’ value in the ‘Sync with Mailer’ checkbox on People records.
  • Email address is not blank
  • Email address is not linked to another Force24 contact
  • Force24 Contact ID is blank

 

It will also sync updated People to Force24 when:

  • Force24 Contact ID is not blank
  • ‘Update at’ is after the last sync

 

It will also detect deleted People if:

  • Person is deleted in Workbooks and no other Person in Workbooks uses the same email address then the contact will delete in Force24
  • If another Person record in Workbooks uses the same email address and the records are merged, it will update the Contact in Force24

 

Force24 – Retrieve People

This process will

  • Fetch People from Force24 to Unsubscribe
  • Create new People in Workbooks if new contacts are created in Force24 for example anyone who completes a form fill.

 

Force24 – Retrieve Activities

This process will:

  • Sync campaign result data from Force24 and create Online Activities in Workbooks
  • Create a ‘Shadow’ Mailshot to correspond with the Force24 campaign – This will help to easily identify Online Activities related to the Mailshot
  • Fetch web activity and create Online Activities in Workbooks
  • It will only fetch the Activity types as per the settings in the Force24 setup page

 

Force24 – Send Mailing Lists

This process will:

  • Sync ‘Mailing Lists’ from Workbooks and create ‘Marketing Lists’ in Force24
  • Sync Members to Marketing Lists
    • Adds new Members
    • Removes deleted Members

The behaviour of these processes can be configured on the main Force24 tab within Workbooks, Start > Configuration > Email Marketing > Force24.

SSO Configuration

In Force24:

  • Navigate to Settings > Account Settings and copy the ID at the top of the page.

In Workbooks:

  • Navigate to Start > Configuration > Email Integrations > Force24.
  • Add this ID from Force24 into the Client ID field.

SSO for Force24 Users

  • For users with a Force24 login, the iFrame will log you in in using your personal credentials, provided you use the same email address in both systems.
  • For users without a Force24 login, a default user can be configured to provide limited access through the integrated Force24 tab on People records.

Field Mapping

Any additional People data used for segmentation needs to be synced to Force24. To aid this process, you are able to create field mappings between Workbooks Fields and Force24 Fields. To configure this please navigate to Start > Configuration > Email Marketing > Force24 > Field Mapping. You can also create new custom Contact fields either here or directly in Force24.

Preference Mapping

To set up Email Preferences in Force24:

  • Navigate to Settings > Account Settings > Opt-Out Sub-Preferences in Force24.
  • Once configured, go to Start > Configuration > Email Marketing > Force24 > Preference Mapping in Workbooks to create the mappings.

Accessing Force24 within Workbooks

iFrame to Force24

  • Navigate to Start > Marketing > Force24.
  • The iFrame allows access to Force24 within Workbooks and automatically logs users in using SSO.

iFrame on Person Records

  • Accessible through Person records under the Force24 tab.
  • This eliminates the need to sync all campaign results back to Online Activities.
  • The Activity option provides a timeline view of interactions.

iFrame on Mailing Lists

  • A future feature will allow access to Mailing Lists via an iFrame, linking to a Marketing List in Force24.

How do I sync People?

All People records will sync with Force24 by default. If you would rather not sync all People into Force24, please contact Workbooks support for advice and assistance on how to prevent records from syncing.

How do I sync Mailing Lists?

To sync a Mailing List into Force24, you will need to create a new Mailing List > Assistance on creating a Mailing List can be found here. Once created, there is a ‘Synchronise With’ picklist on the main tab which will include ‘Force24’.  Once selected, the ‘Force24 – Send Mailing List’ process will then sync the Mailing List when it next runs.
