Report Templates

A list of Report Templates available within Workbooks.

To reduce effort and help you build a suite of reports quickly and easily, Workbooks comes with a number of pre-built Reports that are available as Templates.These Templates cover a wide range of uses such as pipeline management, campaign performance as well as Reports used for plugins and integrations. Template Reports make a great starting point for your own reporting needs as they often contain the configuration and calculations that can then be amended and adapted as required.

To access these Template Reports you will need to go to Start > New > Report > Create a new report from a template report and then select from the list of Reports. To make it easier to find the right Template for you we have compiled a list of all available templates with a description of what it shows.

In addition, we supply a number of standard Reports that can be used.  These can be copied and/or modified to suit your requirements.  Details of available templates can be found here.

Within the Template Report List all Reports will start with the prefix “Template -” so we recommend when searching for a Template Report you use a “contains” filter on the name of the Report.

Activities – colour-coded by priority: This report uses CSS Styling in order to apply colour-coding to Activities based on their priority, allowing you to immediately identify which Activities are the most important.

Activities – Completed This Month: A Report that shows the number of activities completed this month, grouped by the assigned to and split by type. This Report will use either the date at which an Activity was closed or the End Date of a meeting depending on the Record Type.

Activities – Overdue Activity Summary: This report shows all activities that are open where the Activity’s due date is in the past. This Report is then grouped by the assigned to and split by activity type

Orders – Order value over the last two months: This Report is designed to show you the value of paid Orders over the previous two months. By looking at Posted Orders created in the previous two months you are able to track Customer spend which can then be used to help you forecast future figures as well as measure sales performance.

Opportunities – Activity Summary: This Report can be used to help track Activities logged against open Opportunities. This Report has three views that will allow you to see when the Next Activity against an Opportunity, when the most recent Activity was completed and if an Opportunity does not have any future Activities scheduled.

Sales Lead – Activity Summary: This Report can be used to help track Activities logged against open Leads. This Report has three views that will allow you to see when the Next Activity against a Lead, when the most recent Activity was completed and if a Lead does not have any future Activities scheduled.

Current Sales Pipeline by Stage: This Report provides a breakdown of Opportunities with a Close date in the current financial year. The Report summarises each Sales Rep’s total pipeline value as well as breaking it down stage-by-stage.

Leads Assigned to Sales Reps by Status: This report shows the number of Leads assigned to a Sales Rep, split by Category such as; unqualified, converted and lost.

Sales Leads – Leads with no related Activities: This Report shows you the number of open Sales Leads in your database that do not have an Activity or Meeting associated with them.

Opportunities – New Business Metrics: This Report is designed to help you better understand your New Business Metrics within Opportunities, and as such create better forecasts for future sales.

Next Quarter’s Pipeline against Target: This report shows the next fiscal quarter’s sales pipeline against each individual sales person’s target.

Marketing Campaigns – Pipeline Conversion rates grouped by Marketing Campaign: This Report shows you the number of Leads, Opportunities and Sales Orders created for each closed Marketing Campaign as well as the conversion percentages from Leads to Opportunities and Opportunities to Orders.

Opportunities – Pipeline by Stage: Summary of open opportunities, grouped by the opportunity stage showing the number of Opportunities at each stage and the respective value.

Opportunity Conversion Rates: This report shows how good your sales reps are at converting Opportunities by counting the total number of Opportunities assigned to them which are won and displaying this as percentage of the total number of Opportunities assigned to them.

Opportunity Stage History: This Audit Extension is required in order to build this Report. This report is designed to be added as a Tab on the Opportunity Record Type. This Report drills into Audit data to show the previous and new values of the Opportunity Stage field.

Sales – Key Deals (Opportunities) at Stage 3 or 4: This Report was developed as a part of one of our Success Clinics to help you improve your sales pipeline and understand key deals. This Report allows you to identify and focus on key Opportunities within your pipeline. Full details on this Report can be found on our Forum.

Sales – Pipeline Stage Duration (Opportunities): The Audit Extension is required to build this Report. This Report shows you when the stage of an Opportunity last changed, this allows you to identify any “stuck” Opportunities as well provide a better overview of your pipeline.Full details on this Report can be found on our Forum.

Sales – Pipeline Stage Movement (Opportunities): The Audit Extension is required to build this Report. This Report has a number of different views that provide you with an overview of what is going on within your pipeline, including won and lost Opportunities as well as summarising the movement of Opportunities between stages. Sales – Total Performance: This Report shows the performance of your sales team over all time, so you can see which sales person has brought in the most sales.

Sales Performance Reporting: This is an Opportunities Report that shows you the performance of each sales person this financial quarter. The Report includes a configurable target for each person which is colour-coded based on their performance against target.

 Sales trends by Client: This report shows your clients’ buying patterns over time and the percentage change in their goods/services comparing last month to 2 months ago. You may wish to change the date ranges which will require a change to the formulae used. Details of how to build this report are available on our Forum.

Orders per Sales Exec, current and previous fiscal year: This Report shows you the value of posted Customer Orders from the current and previous financial years. This is then grouped by the assigned to so that you can see the performance for each individual Sales Exec.

Integrated Mailshots – Performance & Click Breakdown Report: This Template Report allows you to see a summarised Performance of Integrated Mailshots (GatorMail Mailshots) and provides two Summary Views. The first showing the breakdown of statistics and performance of the Mailshot and the second shows the click through rates of each link within all of the Campaigns so you can gain a better understanding of the interactions customers have with your campaigns.

Online Activities – Mailshot Open & Click Through Summary: This Report provides a breakdown of Campaign performance showing you which People and Leads interacted with your Mailshot and how. The Report has four views: Did not Open the Email, Opened the Email, Opened the Email but did not click, Opened the Email and did not click. This Report can then provide you with a list of warm contacts that have interacted with your recent Campaign and can then be followed up with at a later date.

View Marketing Campaigns for Employees: This Report is best used as tab or embedded on the Form of an Organisation record to show a list of all the Campaigns that employees of that Organisation belong to.  This can be useful, particularly if you use Marketing Campaigns to run Events, so that salespeople can see which Events employees have been invited to and whether or not they’ve attended.

Leads by Campaign Source: This Report counts the number of Sales Leads generated by each Marketing Campaign allowing you to see how effective certain events or Campaigns are at generating new business.

Marketing Performance against Target: This reports shows how many sales Leads your marketing team is generating each month. Targets for each month will need to be configured by yourself as per your requirements, the results are then colour-coded against the target so you can easily see how well the team is performing. Costs of Leads by Campaign: This Report shows you how much each Lead cost to generate by taking the budget field from a Campaign and dividing it by the number of Leads that were created from the Campaign.

Leads by Source: This report shows all Sales Leads grouped by their source allowing you to see which methods of lead generation are proving the most effective in terms of volume.

Cases – Activity Summary: This Report can be used to help track Activities logged against open Cases. This Report has three views that will allow you to see when the Next Activity against a Case, when the most recent Activity was completed and if a Case does not have any future Activities scheduled.

Cases and their related activities: This Report is designed to be embedded within the Form of a Case so that users can see recent Activities against that Case.

Open Cases by Priority: This Report groups Cases by their priority, ordering by the most urgent to least urgent with a count of the number of Cases split by the Assigned to. 

Open Cases with No or Overdue Activities: The Report has two Summary Views, the first showing open Cases with no Activities related to them, the second shows all open Cases with at least one overdue activity against them.

P1 Cases not updated today or yesterday: This report will show all open cases which have not been updated in the last two days, which are priority one.

Cases by Month: This shows a count of the number of Cases created this year grouped by month, providing you with a quick overview of the number of cases being created throughout the year.

Cases by Type: This Report shows a count of the number of Cases grouped by the Type allowing you to understand the number of Cases that have been created and where focus may need to be applied in order to prevent more cases being raised.

All Customer Contracts: This Report shows all Contracts in your database, it includes a calculated column that looks at the Contract start and end dates to determine whether a Contract is active or inactive.

Billings Summary: This Report has two summary views the first shows the total billings for each month of the fiscal year, the second summary view shows the billings for each customer in the current month.

Orders per Month: This Report shows you the number of Orders in each accounting period as well as showing you the total Net, Gross, and Margin values of all orders in that period.

Unpaid Invoices: This Report shows you all of your Posted Invoices, with an invoice date in the past, that still have an outstanding amount against it. This also includes a column to show by how long the payment is overdue by, the results are then colour coded so that to help identify which Invoices need to be chased.

Invoices – Invoice value over the last two months: This Report is designed to show you the value of paid Invoices over the previous two months.The Report has two Summary Views each contain: the total amount spent, spend each month, number of invoices and the percentage change over two months, allowing you to see spending trends for customers 

Emails – Numbers: This Report shows the number of Emails created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Cases – Number: 
This Report shows the number of Cases created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Organisations – numbers
This Report shows the number of Organisations created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.]

People – Numbers: This Report shows the number of People created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Activities – Numbers: This Report shows the number of Activities created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Accounting documents – numbers: This Report shows the number of Accounting Documents created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Marketing Campaigns – numbers: This Report shows the number of Campaigns created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

Opportunities – Numbers: This Report shows the number of Opportunities created over the current and previous year, this has a Summary View that groups by the assigned to and splits the count by the month created.

DLI – Competitor Organisations: This Report can be used as a DLI to identify any Organisation record in your database that has a Competitor relationship with your Own Organisation (ORG-1). If you have multiple Own Organisations you will need to add the Object Reference of this to the criteria of the Report.

Primary Contacts: This Report is used as a part of the Event Management Portal installation but can also be used throughout your database as a starting point for a Primary Contact DLI on any other record type.

DLI – Suppliers to our Own Organisation: This Report can be used as a DLI to identify any Organisation record in your database that has a Supplier relationship with your Own Organisation (ORG-1). If you have multiple Own Organisations you will need to add the Object Reference of this to the criteria of the Report.

DLI – Customers of our Own Organisation: This Report can be used as a DLI to identify any Organisation record in your database that has a Customer relationship with your Own Organisation (ORG-1). If you have multiple Own Organisations you will need to add the Object Reference of this to the criteria of the Report.

Possible Duplicate Organisations – Suffix and Prefix: This report is designed to help identify possible duplicate Organisations on your database to make cleaning up your data easier. This Report creates a “cleansed name” removing all generic suffixes and prefixes as well as spaces and punctuation to give you a better chance of finding duplicate Organisations.

Possible Duplicate People: This Report is designed to help you identify possible duplicate People in your database, based upon an exact match of their name, or an exact match of their email address.

Possible Duplicate Leads: This Report is used as a part of our JumpStart Database. This report can be used to identify possible duplicate leads in your database, based upon an exact match of their email address. This report could then be added to Leads or Organisations as a Report Custom Field

Adobe Sign Document Status – Cases: This Report can be used to create a Report Cell on a Case to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Contracts: This Report can be used to create a Report Cell on a Contract to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Credit Notes: This Report can be used to create a Report Cell on a Credit Note to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Invoices: This Report can be used to create a Report Cell on an Invoice to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Opportunities: This Report can be used to create a Report Cell on an Opportunity to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Orders: This Report can be used to create a Report Cell on an Order to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Quotations: This Report can be used to create a Report Cell on a Quoationa to show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Document Status – Supplier Orders: This Report can be used to create a Report Cell on a Supplier Orderto show you the status of a related Adobe Sign Activity. Full details on how this Report is constructed can be found on our Forum.

Adobe Sign Tasks DLI: This Report is Required as a part of the Adobe Sign Integration in order for the Button Process to run. See our Forum Post for full details on how this needs to be setup and configured.

Support Portal – Closed Cases: This Report is required as a part of the Case Portal setup and configuration and will be used to display any closed Cases for that customer when they log in. 

Support Portal – Open Cases: This Report is required as a part of the Case Portal setup and configuration and will be used to display any open Cases for that customer when they log in.

Case Product Areas: Use this as the report when setting up a Dynamic Picklist for Case Product Area and Sub Product Area – required by the Case Portal script

Event Attendance: This Report shows the attendance rates of Event Campaigns that are using the Event Portal integration that is available to all Customers from the Script Library. This Report includes statistics such as attendance percentage, number of people invited and number of no shows at your Events.

Event Registration Portal: This Report is required in order to run the Event Registration Portal as it is used to look up and monitor registrations for a specific Event. Full details on how to set up the Event Portal and configure this Report is found on our Forum.

Invoices for export and import to QuickBooks: Used to identify Invoices that can be exported from Workbooks and sent to QuickBooks. 

SAGELINK – Credit Notes to be Synchronised: This Report is used for syncing Credit Notes from Workbooks to Sage using Sagelink. You may wish to add additional columns to the Report if you are planning to sync over additional fields such as the Sage Account Ref stored on the Organisation.

SAGELINK – Invoices to be Synchronised: This Report is used for syncing Invoices from Workbooks to Sage using Sagelink. You may wish to add additional columns to the Report if you are planning to sync over additional fields such as the Sage Account Ref stored on the Organisation.

API Data – SFTP Import Summary report: This Report will provide a summary of Imports performed by your SFTP / FTP Process, including a breakdown of the number of records that have been created, updated or unchanged, and the number of Warnings and Errors received. This Report can be used inline with our SFTP Summary Script which is accessible through the Script Library.

Hot new Sales Leads on your website: This Report shows leads that have visited your website in the last month. It then applies a colour-coded 5 star rating to the lead based on the Insights Total score, which helps you prioritise the order in which you follow-up on the leads. People on your website with closed Opportunities: This Report displays People who have been on your website recently and have a closed Opportunity e.g. maybe a deal has been lost recently, but a Person or People from the Prospective Customer are still active on your website. Full details on this Report can be found on our Forum.

People on your website with open Opportunities: This Report shows the online activity of People already in your sales pipeline. The report will also show you People who do not currently have an Opportunity, but have been on your website recently. Full details of this Report can be found on our Forum.

Webinar Attendance: This Report provides you with an overview of the success of your past Webinars. This includes statistics such as the registration and attendance rates as well the number of people who were invited, registered and attended.

Webinar Downloads: This Report has a number of Summary Views that provide you with details of the Content Downloads from your previous Webinars. This includes a breakdown by month for each webinar, details of the People who downloaded content and the Companies that have downloaded the most content.

Webinar Leads: This Report shows you the number of Leads generated from a Webinar Campaign, this way you can easily see how many Leads you have been able to generate from a Webinar and which ones have been the most effective for sales.

Workbooks Outlook Connector – Emails created by the Outlook Connector: This Report provides a breakdown of the number of Emails created in the current and previous calendar years via the Outlook Connector.

Workbooks Outlook Connector – Activities created by the Outlook Connector: This Report provides a breakdown of the number of Activities created in the current and previous calendar years via the Outlook Connector.

Workbooks Outlook Connector – People created by the Outlook Connector: This Report provides a breakdown of the number of People created in the current and previous calendar years via the Outlook Connector.
