Web to Case and Web to Lead

The benefits of using Web2Lead or Web2Case forms on your website.

If you use forms on your website which are completed by potential and/or existing customers, you are able to configure Workbooks so that when a form is submitted, a record is automatically and instantly created in Workbooks, populated with the details that the person entered. 
 
This functionality is available for Leads and Cases known as Web2Lead and Web2Case respectively.
 
You can:

  • Specify which fields from your records are used in the form (including any custom fields).
  • Configure your settings so that the records generated are assigned to a specific individual or Queue.
  • Generate multiple forms for use on different parts of your website.

This can work in tandem with either your Sales or Customer Service Processes in order to provide either team with live information and provide website Users with a way to easily submit information to your teams for review.
 

Web2Lead Functionality

Web2Lead forms can be configured in two different manners. By default for any database created before 26th May 2018 a submission of a Web2Lead form will create a new Lead record in the database regardless of any existing data.

However, your database was created after this date then the Web2Lead form will first look for existing People Records, using the email address as its matching criteria. If no People are found then it will look for an existing Sales Lead Record using the email address. If a match is found an Online Activity is created against the Person or Lead with the captured data, rather than overwriting the information already held in Workbooks. 

If no matching People or Leads are found then a new Sales Lead will be created within the database.
